Privacy Policy

This policy explains what personal data the Akasa Coworking app collects, why we collect it, who processes it and what you can ask us to do with it.
Who we are
The Akasa Coworking app is operated by Akasa Co-working Pvt. Ltd. (Akasa Coworking), which provides managed office and coworking space across its centres in India. In this policy, "we" and "us" refer to that company.

Accounts are created for you, not by you
This app is not open to the general public and has no public sign-up. Accounts are created by Akasa Coworking staff for members of client companies that hold a workspace agreement with us, and for our own employees. Your employer or their authorised contact decides who is given access.
This matters for your privacy: the company you work for can see that you hold an account and can ask us to remove it.
What we collect
We collect only what the app needs in order to work. In practice that is:
- Your profile — name, work email address, phone number, profile photo, job title, a short "about" description, and optional LinkedIn or X (Twitter) handles that you choose to add.
- Your membership — the company you belong to, your home centre, your membership type and account status.
- Bookings — meeting rooms you book, the times, any meeting title you enter, and the colleagues you invite.
- Support tickets — the category and description of issues you raise, any photographs you attach, replies in the conversation, and the rating you give when a ticket is resolved.
- Visitors you invite — the name, and where you provide them, the email, phone number, company and purpose of visit for guests you register, plus check-in and check-out times and any photo captured at reception.
- Credits and billing — meeting-room and printing credit balances and usage for your company, and invoices raised against your company. Billing information belongs to the company, not to you individually.
- Notifications — if you turn on push notifications, a device subscription identifier issued by your browser or operating system so we can deliver them.
- Technical diagnostics — when the app encounters an error we record the error, the screen it happened on, and basic device and browser information so we can fix it.
We do not collect your location, your contacts, your calendar, or anything from other apps on your device. We do not use advertising trackers or third-party analytics profiling.
Why we use it
- To give you access to the app and to keep your account secure.
- To let you book meeting rooms, manage credits and see your bookings.
- To raise, route and resolve support and maintenance requests at your centre.
- To register and check in your visitors, and to keep a safety record of who is on site.
- To bill your company accurately and to show your company its usage.
- To send you notifications you have asked for, such as booking and ticket updates.
- To diagnose faults, prevent misuse and improve how the app works.
We process this data to perform the workspace agreement we hold with your company, to meet our legal and safety obligations, and — where you have given it, such as for push notifications — on the basis of your consent.
What we never do
- We do not sell your personal data. Ever.
- We do not share your data with advertisers or data brokers.
- We do not use your data to train third-party advertising or profiling systems.
Who else processes your data
We use a small number of service providers to run the app. They process data only on our instructions and only to provide their service to us:

We may also disclose data where we are legally required to do so, or where it is necessary to protect the safety of people at our centres.
Where your data is stored
Application data is stored in Mumbai, India (ap-south-1). Some of our service providers, such as those handling error diagnostics and content delivery, may process limited technical data outside India. Where that happens, we rely on the contractual protections those providers offer.
How long we keep it
- Your profile — name, email address, phone number and photo — is kept only while your account exists. When you delete your account it is erased immediately.
- Booking, credit and invoice records are kept for as long as required for accounting and tax purposes.
- Visitor records are kept for a limited period as a site-safety record.
- Error diagnostics are kept only as long as needed to investigate the fault.
When a retention period ends, records are deleted or irreversibly anonymised so they can no longer identify you.
Your rights
Under India's Digital Personal Data Protection Act, 2023, and other laws that may apply to you, you can ask us to:
- Confirm what personal data of yours we hold, and give you a copy of it.
- Correct anything that is inaccurate or out of date.
- Delete data we no longer have a lawful reason to keep.
- Withdraw a consent you previously gave, such as for push notifications.
- Nominate another person to exercise these rights on your behalf.

Deleting your account
You can delete your account and your personal data yourself at any time, in the app: open Profile and choose Delete my account. It takes effect immediately — your name, email address, phone number, photo, directory listing, notifications and device registrations are erased, your upcoming bookings and expected visitors are cancelled, and your login stops working. It cannot be undone.
Records we are required to keep are retained without your contact details: your company's invoices and credit ledger, which Indian tax law requires us to keep as Goods and Services Tax (GST) records; past bookings, which are the usage behind those accounts; support tickets, as the centre's maintenance and safety record; and the visitor security log, for premises security.

Keeping your data safe
Access to data in the app is enforced at the database level, so members see only their own records and their company's shared records, and staff see only the centres they are assigned to. Data is encrypted in transit. Files such as identity documents, contracts and ticket photographs are held in private storage that is not publicly reachable.
No system is perfectly secure. If a breach ever affects your personal data, we will notify you and the relevant authority as the law requires.
Children
The app is intended for working adults at our centres and is not directed at children. We do not knowingly collect data from anyone under 18.
Changes to this policy
If we change this policy we will update the date at the top of this page, and for significant changes we will tell you in the app.
